Terms and conditions
1. Scope of Services
1.1. Under this agreement, Eurideas Language Experts (hereinafter referred to as the Agency) provides professional language services including translation between multiple languages in various fields, both from electronic and printed documents as well as online content. Additional services include text editing, interpreting and typesetting for publication.
2. Formation of contract
2.1. The contract may be concluded either:
- In person or by fax (traditional means) or
- Electronically, via email or through our website
The contract shall clearly define the document to be translated, source and target languages, delivery deadline, required services, payment terms and any special client instructions.
2.2. Contractual workflow:
- The Client submits a request via email, website form or phone;
- The Agency provides a price quotation via email. Prices are exclusive of VAT (Hungarian VAT is 27%, if applicable);
- Upon acceptance of the quotation and these Terms and Conditions, the Client confirms the order;
- The Agency sends written confirmation by email to finalise the agreement.
3. Translation and text editing
3.1. The Agency reviews the submitted document and will promptly notify the Client of any illegible content or technical issues.
3.2. All translations are assigned to qualified native speakers of the target language to ensure the highest quality and linguistic accuracy.
3.3. The Client agrees to cooperate by providing relevant materials, including terminology lists, company names in the target language and other specific references if required.
3.4. If the source text is modified after confirmation of the order, the Agency may charge an additional fee.
3.5. Delivery of the completed work will be performed electronically at the Agency’s cost or physically at the Client’s expense.
3.6. The minimum fee for translation and editing services is EUR 30–50 per language pair.
4. Interpretation services
4.1 The Agency primarily works with interpreters based in Brussels to minimise travel and accommodation costs unless otherwise stated in the quotation.
4.2 Prices quoted are valid for up to 10 calendar days before the interpretation date. After this period, availability and rates are subject to change.
4.3 Interpreters may not be native speakers of both languages; the Agency does not accept any complaints based on accent.
4.4 Clients are asked to provide as much background material as possible, including speeches or presentations at least 2 working days in advance. Without such materials, quality complaints will not be accepted.
4.5 Interpreter briefing
- Telephone briefings (from 7 days before the event) are free.
In-person briefings are charged at standard interpretation rates.
4.6 Additional charges apply if interpreters are required to work longer than originally scheduled. Overtime is subject to interpreter availability.
4.7 Cancellation terms
- Free cancellation: up to 20 calendar days before the event.
- Cancellation fees:
- 50% of the total fee if cancelled 8–20 days in advance
- 100% if cancelled 7 days or fewer before the event
5. Typesetting and publication editing
5.1. The Agency offers layout and typesetting services,
5.2 While no new design elements are added, minor adjustments to the layout may be necessary due to text expansion in the target language. The Agency performs typesetting to professional standards and does not accept complaints arising from such adjustments.
6. Deadlines
6.1. Turnaround times exclude Saturdays, Sundays, public holidays and the day on which the source file is received. Delays caused by illegibility, file corruption or incomplete data will not count toward the deadline if reported to the Client.
6.2. If no specific deadline is stated, the Agency applies its standard turnaround times.
7. Payment terms
7.1. Invoices are payable within 30 days of delivery. Payment options include bank transfer, credit card and PayPal.
7.2. For projects exceeding EUR 5,000, a 50% prepayment may be required. Work commences upon receipt of this prepayment.
7.3 In case of late payment, interest equivalent to twice the current central bank base rate will be charged.
8. Liability for defects and compensation
8.1. Complaints must be submitted:
- Within 10 working days for standard deadlines
- Within 5 working days for urgent projects
Complaints must specify the exact issue and relevant text segments. If accepted, the Agency will correct errors in accordance with agreed deadlines. Repeated failure entitles the Client to cancel the contract and pay 50% of the agreed fee.
For disputes, the Agency may consult an independent language expert. If the complaint is unfounded, the Client must cover this cost.
8.2. The Agency is not liable for:
- Misleading price quotations caused by inaccurate client information
- Consequences of inadequate client cooperation
- Ambiguity in the source text
- Defective content or technical errors in submitted files
- Document loss or damage during file transmission
- Copyright-infringing source content
- Delays outside the Agency’s control
Compensation is limited to the invoiced service fee. No claims are accepted beyond 6 months from delivery. The Agency cannot guarantee objective linguistic correctness, as translation assessment may be subjective.
8.3. In case of late delivery, the Client may cancel the contract:
- After a delay of 1 working day for urgent projects
- After a delay of 3 working days for standard deadlines
If the Agency delivers late, the fee is reduced by 5% per delayed day.
9. Termination
9.1. The agreement ends upon full performance and payment. Amendments or termination may be agreed in writing at any time.
9.2. The Client may cancel the contract at any time by reimbursing the Agency for any incurred costs. The full fee remains payable if delivery was made unless the Agency failed to meet the deadline or refused to correct issues.
9.3. The Agency may terminate the agreement if the Client breaches its contractual obligations.
10. Legal validity
Unless otherwise agreed in writing, all orders are governed by these Terms and Conditions. Deviations are only valid if agreed in writing. These terms remain valid until revoked.
11. Final provisions
11.1. Both parties agree to cooperate in good faith and notify each other of any issues that may hinder performance. Emails are considered formal written communication.
11.2. Both parties agree to maintain confidentiality of all business information received in the course of the contract. Neither party shall engage in conduct that could damage the other’s reputation or interests.
Data Protection
Eurideas Language Experts guarantees complete confidentiality and protection of client data. No personal or project data will be shared with third parties. To enhance translation quality, the Agency may use anonymised translation memory data. No identifiable data can be retrieved from this system. All client data submitted during registration or contracting are handled in strict confidence.
